About the Role

Contract Management of both 3rd party vendor and AIA internal (Business Unit to Business Unit) contracts.

This includes tasks and activities relating to contracting strategy, contract negotiations, reviews and drafting, and the ongoing management and administration of contracts to drive increased value from vendors and reduction of risks for AIA.

Follow the Group Technology IT Contract Management Guidelines—including associated process flows, and AIA’s Policies and Standards for all new and existing contracts. Key responsibilities include:

- Providing advice on the overall contracting strategy to meet the business objectives, budget, and risk parameters;
- Leading the collection and creation of contract related requirements for insertion into tender documents - primarily using existing templates.
- Researching existing vendors and contracts within the contract library that can be leveraged;
- Evaluating vendors during the competitive bidding process;
- Leading contract negotiations with external vendors - including coordinating and collecting input from internal cross functional teams;
- Reviewing and drafting contractual documents—master agreements, statements of work, order forms and NDAs using existing templates or vendor documents;
- Identifying commercial and contractual risk with methods to mitigate and manage;
- Executing contracts according to standards and guidelines;
- Notifying stakeholders of contract renewals and expiries;
- Leading and managing the renewal and updates of third-party and AIA Intra-Group master services agreements and statements for work;
- Managing contract changes;
- Corresponding with vendors in regards relationship and contract matters;
- Coordinating and participating in Governance and Review Meetings;
- Managing disputes to resolution.
- Developing contract documents such as contract templates;
- Managing and administering the contract library to ensure:

- new contract requests are entered accurately and timely and statuses tracked, and
- contracts details are available for access and up to date.
- Advising stakeholders on contract status, questions and interpretations;
- Forming strong relationships with cross functional teams and AIA Business Units during both pre-contract and post contract activities and driving adherence to AIA’s processes, standards, and policies;
- Developing content and advising stakeholders on contract management: best practices, processes, and templates.
- Driving continuous improvement in managing contracts and vendors.
- Mentoring junior team members.

Minimum Job Requirements:

- University graduate in related discipline
- Minimum 5 years of relevant working experience
- Experience in vendor or contract management, procurement functions, preferably in the IT sector
- Experience in the life insurance industry an advantage
- Knowledge of contract provisions
- Strong written and verbal communication and interpersonal skills
- Ability to work in dynamic environment
- Strong negotiation skills
- Strong analytical skills
- Detail oriented
- Commercial focus and understanding of commercial constructs
- Project delivery focus with ability to manage cross functional teams
- No specific supervisory/managerial responsibilities but management of cross functional teams is required at times.
