Key Responsibilities:
**Event Planning**:
Work closely with clients to understand their event requirements and preferences.
Plan and coordinate all aspects of events, including venue selection, catering, decor, entertainment, and logistics.
Develop detailed event plans and timelines.
**Client Communication**:
Serve as the main point of contact for clients throughout the event planning process.
Communicate effectively to understand client needs, provide updates, and address any concerns.
**Vendor Management**:
Source and negotiate contracts with external vendors, including catering services, florists, audiovisual providers, and others.
Coordinate with vendors to ensure they meet the specified requirements and standards.
**Logistics and Coordination**:
Oversee the setup, execution, and breakdown of events.
Coordinate with various departments within the hotel, including catering, housekeeping, and maintenance, to ensure seamless event operations.
Manage event staff and volunteers as needed.
**Budget Management**:
Develop and manage event budgets, ensuring cost-effective planning and execution.
Monitor expenses and provide regular financial updates to clients.
**Event Marketing**:
Collaborate with the marketing team to promote events and attract attendees.
Utilize various marketing channels to maximize event visibility.
**Customer Service**:
Provide exceptional customer service to clients and guests.
Anticipate and address any issues or concerns during events to ensure a positive experience.
**Post-Event Evaluation**:
Conduct post-event evaluations to gather feedback from clients and attendees.
Use feedback to make improvements and enhance future event planning processes.
**Compliance and Regulations**:
Ensure that all events comply with local regulations and safety standards.
Obtain necessary permits and approvals for events when required.
**Qualifications**:
Bachelor's degree / Diploma in Hospitality Management, Event Planning, or a related field.
Proven experience in event planning and coordination, preferably in a hotel or hospitality setting.
Strong organizational and project management skills.
Excellent communication in BAHASA, ENGLISH and MANDARIN is required
Ability to work under pressure and manage multiple tasks simultaneously.
Creativity and attention to detail.
Fresh graduate are welcome
