Rate and Tender Coordinator

Our client is an innovative and dynamic logistics solutions provider with more than 4000 employees across more than 90 countries and is supported by hundreds of agents globally. The company provides airfreight, sea freight, customs brokerage, local transportation, warehousing, and distribution services. They provide logistics and supply chain solutions to aerospace, automotive, chemical, oil & gas, wine and spirits, and manufacturing industries.
Reporting to the Operations Director, the Rate and Tender Coordinator will be responsible for coordination and completing country, global and regional tenders, RFI’s and RFQ’s, participating in the RFQ process from initial Request for Information until delivery of Request for Quotation. The Rate and Tender Coordinator will be based in Penang.
**The Role**
- Prepare rates and organize company information for Country Tender process and RFIs and RFPs request regional or global pricing for all transportation product lines.
- Coordinate bid submission and analyze data from Country Subsidiary.
- Provide detailed shipping activity reports upon request.
- Provide monthly reporting on overseas response to RFP’s.
- Maintain and update pricing country database.
- Monitor Global and Regional Accounts KPIs with presence in the country.
- Provide and work on shipment reports.
- Provide support to the country's sales team in all its activities.
- Actively participate in bringing ideas for the team’s activities and take responsibility for work related packages (i.e., stakeholder management)
- Help in creating excellent, high value add report that include pipeline management reports, and BRFs needed to set up reports and in collecting and accessing results once they are in place.
- Collect best practice examples for continuous improvement.
- Assist the roll-out and implementation of global sales processes, standards, and guidelines.
- Ensure compliance with Tender Management process;
- Analyze tender and distribute tasks to internal stakeholders, and review/validate information received from the internal stakeholders;
- Oversee the entire process which includes the development of response format/pricing matrix/responding to queries as well as timely submission of RFI, RFP and RFQ to customers / bid owners;
- Provide a quality proposal to the assigned bid owner and/or other Tender Management Teams for validation and submission to the customer;
- Support and maintain pricing database
- Maintain tender data profiling and records, including the update of monthly bid log and completed tenders;
- Support market intelligence on competitors pricing, capabilities, facilities, client base, products and services for competition analysis;
- Ensure post bid analysis to be performed by bid owners for all bids, both successful and
- Unsuccessful Tenders, ensure received tender feedback is shared with relevant functions in the organization.

**The Requirements**
- Possess SPM / Diploma / Degree or equivalent.
- Fluent in English and Spanish language, Portuguese language preferred.
- Experience in pricing and tender management related to process of aviation or maritime.
- Excellent organizational skills, detail-oriented, ability to multitask and meet deadlines.
- Excellent written and verbal communication skills.
- Able to work in a fast-paced, independently and work in a team to achieve results.
- Proficient in Microsoft Office and CRM experience.
- Strong interpersonal skills, energetic, assertive, self-starter with positive and confident personality.
