**OBJECTIVES OF POSITION**

Responsible for an effective management and administrative functions of the Group Chief Corporate Services Officer’s Office and Group Chief Business Officer’s Office.

**RESPONSIBILITIES OF POSITION**

1. Administrative & Management
a. Organize a proper management schedule to ensure work schedule is well organized and runs smoothly.
b. Scheduling and organizing internal & external appointments and meetings.
c. Ensure meeting materials are in order to ensure superior is well prepared for meetings.
e. Managing the HRMS & APPS system on behalf of superior.

2. Managing data management and filing system
a. Ensure that all internal & external documents are managed efficiently and properly recorded.
b. Ensure that all correspondences and documentation are filed for easy references and retrieval.

c. Providing or channelling response to the respective parties and follow-ups.

4. Managing stakeholders’ engagement
a. Maintain strict confidentiality and interact professionally with all levels of management, staff, government agencies & business associates.
b. Liaising with customers, staff, government authorities & business associates in a professional manner.
c. Building rapport with key Personal Assistants.
d. Meet and Greet superior’s visitors at all levels of seniority.
e. Screening and making phone calls, enquiries and requests and handling them appropriately.

5. Attending to other tasks assigned from time to time
a. To complete task successfully.

**QUALIFICATION / EXPERIENCE**

Ø Bachelor in Management/Secretarial/Office Management or its equivalent from college/university recognized by the Government of Malaysia.
Ø Minimum two (2) years’ experience in secretarial and administrative duties.

**PROFESSIONAL SKILLS/KNOWLEDGE**

Ø Through inter-personal and communication skills, able to work in a team, recognize diverse opinions, reduce conflicts and promote harmony.
Ø Ability to motivate others, to take the initiative and to lead others by example.
Ø Able to prioritize e.g., in taking care of the boss and the office first before dealing with others. Learn to handle urgent matters immediately.
