Secretary to General Manager

**BASIC FUNCTION**
**DUTIES & RESPONSIBILITIES**
1. Answers all telephone calls professionally and pleasantly.
2. Administrate, maintain and keep confidentially of files for General Manager (GM).
3. Provide administrative support to GM.
4. To perform tasks and duties assigned by the GM.
5. Receives, opens, date stamps and sorts all incoming mail (non-personal). Reviews all incoming correspondence & update to GM.
6. Interprets and translates as required for the business activities of the GM.
7. Adherence to and acknowledge of office systems, policies and procedures. Prepares them in general, for future growth opportunities within the property.
8. In condition with the Executive Office Administration, maintains and develops computer programs/ systems to provide for administrative efficiency and consistency.
9. Compiles daily marketing meeting minutes, weekly sales operations meeting minutes and distributes as is appropriate.
10. Oversees purchasing and requisition of required supplies and materials and maintain accurate records to back up all purchases and requisitions.
11. Ensures that brochures/ collateral materials are available and advises GM when reordering is necessary.
12. Oversees co-ordination of providing brochures/ collateral to sales office as necessary.
13. Present folders, files, materials and documentation for routine meetings at least one hour prior to the meeting.
14. Maintains agenda/ appointment schedule for GM.
15. Performs all duties and responsibilities in a timely efficient manner in accordance with established property policies to achieve the overall objectives of the position.
16. Establishes and maintains effective employee relations.
**Job Types**: Full-time, Permanent
**Salary**: RM2,500.00 - RM3,500.00 per month
