Job Description:
**Responsibilities**:

- Procurement Management:

- Source and purchase quality ingredients, supplies, and equipment required for kitchen operations.
- Maintain relationships with suppliers, negotiate prices, and ensure timely delivery of goods.
- Monitor inventory levels and anticipate demand to prevent shortages or excess stock.
- Vendor Management:

- Identify and onboard new suppliers while evaluating their performance and reliability.
- Conduct regular assessments of supplier quality, pricing, and delivery performance.
- Resolve any issues or discrepancies with suppliers promptly and effectively.
- Documentation and Record Keeping:

- Generate and maintain accurate records of all purchase orders, invoices, and receipts.
- Ensure compliance with procurement policies and procedures, as well as regulatory requirements.
- Prepare reports on purchasing activities, budget utilization, and cost savings initiatives.
- Delivery Order (DO) and Goods Received Note (GRN) Management:

- Oversee the accuracy of Delivery Orders (DO) and Goods Received Notes (GRN) to ensure alignment with customer orders.
- Collaborate with the kitchen team and logistics partners to coordinate timely deliveries and minimize discrepancies.
- Address any discrepancies or issues with DOs and GRNs promptly and proactively.
- Cross-functional Collaboration:

- Coordinate closely with the kitchen production team to align purchasing activities with production schedules and requirements.
- Collaborate with the finance department to reconcile invoices, track expenses, and manage budget allocations.
- Communicate effectively with internal stakeholders and external partners to ensure smooth operations and customer satisfaction.
- Conduct regular inventory audits to identify discrepancies and implement corrective actions.
- Utilize computer software and tools for data entry, analysis, and reporting.
- Work collaboratively with team members to optimize production and inventory management.
- Ensure compliance with food safety and sanitation standards.
- Provide administrative support to the production team as needed.

Qualifications:

- Strong computer skills, including proficiency in Microsoft Excel and inventory management software.
- Excellent numerical and analytical abilities.
- Highly organized with great attention to detail.
- Bilingual proficiency in English and Chinese (Mandarin or Cantonese).
- Previous experience in inventory management or related roles is a plus.
- Ability to work in a fast-paced F&B production environment.
- Strong communication and teamwork skills.
