Responsible for the day-to-day general administration of the organisation, assisting the Head of School and supporting the staff team. Typical work activities - Provide administrative support for matters relating to the premises and operations including cleaners, maintenance, canteen, security, human resource, public relation, admission, library and transport;
- Collecting documents for further steps in the related departments;
- Monitoring, following and responding the process in the related departments;
- To prepare reports and data for the admin department;
- May design and/or review systems and procedures to accommodate new or additional work or to provide improved efficiency;
- May act as advisor on administrative matters to officers;
- Arrange meetings with the subordinate staff - Arrange Maintenance and Repairs - Assist to monitor specified contracts (i.e. Pest Control, Elevators, Waste Management, and Door/Floor Mats) - To handle ad-hoc tasks as assigned by the Management - Keeping regular service and repair records of company vehicles - Responding to reports from departments concerning repairs, acquisition and maintenance of assets - Performs other duties as assigned - To attend weekly administration meeting Requirements - An equivalent combination of education with degree and work experience may be considered;
- Adequate written, verbal, and interpersonal skills required;
- Basic knowledge of office and specific programs and procedures;
- Proficient knowledge of all corporate, state, and country regulations and policies applicable to the position;
- Ability to maintain a flexible work schedule including evenings and weekends;
- Ability to function efficiently and utilize good time management skills in a fast paced and demanding work environment;
- Ability to effectively utilize a computerized lead tracking and data management system, as well as proficient knowledge of Microsoft office products;
- Ability to sit for extended periods of time;
- Ability to hear and speak well enough to communicate related persons face to face and via the telephone;
- Ability to conduct extensive phone communications with prospective or enrolled students;
