Materials Assistant/officer

Purchase supplies and materials according to specifications (e.g.: PO, WOQ, etc.)
- Dealing with the freight forwarder for the shipment
- Coordinate and supervise receiving and warehousing procedures (e.g. incoming and outgoing processes)
- Control inventory levels and ensure availability of material during emergencies
- Maintain relationships and negotiate with suppliers
- Keep detailed records on purchasing activity, materials quantity, specifications etc. (E.g.: Materials list, Stock take list or Bonded listing)
- Assist in forecasting to plan future orders
- Research potential vendors
- Compare and evaluate offers from suppliers
- Negotiate contract terms of agreement and pricing
- Track orders and ensure timely delivery
- Review the quality of purchased parts or materials
- Enter order details (e.g. vendors, quantities, prices) into internal databases (e.g. Purchase Order)
- Maintain updated records of purchased products, delivery information and invoices
- Prepare reports on purchases, including cost analyses
- Monitor stock levels and place orders as needed
- Perform other tasks given by the leader or manager
