Project Coordinator

1. Responsible for coordinating meetings and developing strategies to see projects through from beginning to end. This may include anything from attending meetings and taking minutes, to receiving project documents and compiling a summary that includes a project plan, target date and list of responsibilities and responsible person.
2. Perform various administrative tasks. These tasks include filing project documents, creating and maintaining project schedules, creating responsibility lists for those who are involved in the project, and compiling summaries for those who were involved.
3. Attend project meetings and take minutes. Any notes or minutes taken during the meetings are filed away and audit ready. In addition to attending meetings, also expected to schedule meetings and arrange travel for others who are attending.
4. It’s important to understand that a Project coordinator is not the same as the project manager. He is responsible for gathering the information needed to coordinate a project. Once the meeting is coordinated, the duties are delegated to project managers who are responsible for seeing the job through. However, it may be required to manage the projects.
5. Develop a plan for managing each project, including staffing, schedule, job cost breakdown, work measurement system, invoicing format, and document flow and control associated with the project Coordinator and any other associated transactions.
6. Direct all project phases - engineering (basic and detailed), procurement, fabrication, construction and commissioning/start-up.
7. Ensure that accurate estimates are prepared for each designated project related to the logistic/mobilization scope.
8. Ensure resource availability and allocation as per the senior project/service manager instructions.
9. Establish a positive and open relationship with the Owner/Client if requested by the senior project/service manager.
10. Ensure the contract is reviewed, understood, communicated to the project team and adhered to throughout the course of the project.
11. Assist in the definition of project scope and objectives, involving all relevant stakeholders and ensuring technical feasibility.
12. Develop and implement a system for timely and accurate project documentation, including billings, change requests, information requests, schedule, meetings, transmittals, and work measurement.
13. Interface with Project Engineer and Site Manager, as necessary, to review constructability of design with the goal of meeting or exceeding projected quality, cost and schedule commitments. Perform risk management to minimize project risks. Develops and implements recovery plans for off-schedule and unanticipated occurrences.
14. Manage key project positions including the Project Engineer, Site Manager and Project Administrator, as required. Establish, organize and conduct project meetings at appropriate phases of the project. Ensure that Company’s standardized management procedures and methods are being utilized.
15. Ensure compliance with all quality initiatives and processes. Coordinate internal resources and third parties/vendors for the flawless execution of projects.
16. Ensure that all projects are delivered on-time, within scope and within budget.
17. Maintain awareness of safety and environmental requirements.
18. Follow up with freight forwarder and updating customers accordingly
19. Inspection and repackaging of the spare parts
20. All logistic related documents like packing list, delivery order etc to be prepared

**Salary**: RM3,000.00 - RM3,500.00 per month
