Executive Assistant to Chief Executive Officer

We are seeking a highly skilled and organized Executive Assistant to provide comprehensive support to our CEO and HRDF Certified Trainer. The ideal candidate will possess strong administrative expertise, attention to detail, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

  1. Provide exceptional administrative support, including managing schedules, correspondence, and confidential documents.
  2. Assist in planning and coordinating training sessions, workshops, and seminars, ensuring seamless execution and high-quality outcomes.
  3. Prepare and maintain accurate and up-to-date training materials and documentation, adhering to company standards.
  4. Act as the primary point of contact for trainees, clients, and stakeholders, providing timely and professional responses.
  5. Coordinate travel arrangements and logistics for training activities, ensuring smooth execution and minimal disruptions.
  6. Assist with budget tracking and expense reporting, maintaining accurate records and ensuring compliance with company policies.
  7. Provide on-site support during training sessions, ensuring a positive and productive experience for all participants.

Required Qualifications:

  1. Bachelor's degree in Business Administration, Human Resources, or a related field, with a strong emphasis on administrative practices.
  2. Experience in an executive assistant or administrative role, with a proven track record of providing exceptional support and service.
  3. Proficiency in Microsoft Office Suite, with advanced skills in word processing, spreadsheet management, and presentation design.
  4. Excellent verbal and written communication skills, with the ability to effectively interact with diverse stakeholders.
  5. Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
  6. Fluent Mandarin and English verbal and written communication skills, with the ability to communicate effectively with trainees, clients, and stakeholders.

  1. Effective interpersonal and problem-solving skills, with the ability to navigate complex situations and resolve conflicts.
  2. High attention to detail and adaptability in a fast-paced environment, with the ability to prioritize tasks and manage multiple projects.
  3. Ability to handle sensitive information with discretion and confidentiality, maintaining the trust and confidence of stakeholders.
  4. Bonus: Knowledge of digital content management and social media engagement, with the ability to assist with online presence and community building.
