About This Role

This position provides administrative support to the facilities management team to ensure efficient day-to-day operations.

Responsibilities
  • Support facilities management operations including general maintenance, supply management, and record keeping.
  • Coordinate classroom and venue bookings.
  • Manage subject group capacity mapping and timetabling.
  • Develop and implement efficient scheduling solutions using the TCS system.
  • Collaborate with lecturers and staff to assign subjects to timetable slots.
  • Communicate changes and updates to stakeholders.
  • Maintain accurate filing systems and perform data entry tasks.
  • Support multiple departments as required.
  • Develop and implement effective office procedures for calendar management, meeting organization, and conference planning.
  • Guide and direct schedule administrators to ensure accurate data management.
  • Prepare regular reports on classroom utilization.
Qualifications and Requirements
  • Diploma or Bachelor's degree.
  • Minimum 1-2 years of administrative experience.
  • Excellent English language skills for effective communication.
  • Microsoft Office Suite proficiency.
  • Organizational and time-management skills.
  • Verbal and written communication skills.
  • Independence and teamwork abilities.
  • Attention to detail and problem-solving skills.
  • Positive attitude and professionalism.
