Personal Assistant to Director

1. Executive Support
Manage the Director’s day-to-day schedule, including meetings, appointments, travel plans, and personal errands.
Act as the first point of contact between the Director and internal/external stakeholders.
Handle confidential and sensitive information with utmost discretion.
2. Corporate Secretarial Support
Assist in corporate secretarial duties such as drafting board resolutions, maintaining statutory records, and ensuring regulatory compliance.
Prepare and file necessary documentation with regulatory bodies as required.
Support in organizing and hosting board or management meetings.
3. Meeting Management
Schedule, coordinate, and host internal and external meetings.
Prepare meeting agendas, take accurate minutes, and follow up on action items.
Ensure smooth logistics for all meetings (venue, virtual platforms, materials, etc.).
4. Office Operations
Oversee general office administration to ensure smooth daily operations.
Liaise with vendors, suppliers, and service providers when necessary.
Coordinate interdepartmental tasks and support operational initiatives as needed.
5. Personal Errands & Logistics
Manage all travel arrangements for the Director including booking flights, accommodations, transport, and itineraries.
Assist with personal matters such as licensing, renewals, bill payments, and insurance claims.
Handle reimbursements and expense claims related to both professional and personal activities.
6. Administrative & Audit Support
Maintain well-organized filing systems for documentation and correspondence.
Support internal and external administrative audits by preparing and organizing required documents.
Ensure records are updated, complete, and compliant with audit requirements.
**Requirements**:
Proficient in Mandarin and English (spoken and written).
Proven experience in a similar Personal Assistant or Secretary role.
Familiarity with corporate secretarial work and administrative audit processes.
Excellent communication, organizational, and multitasking skills.
High level of professionalism, integrity, and discretion.
Proactive, resourceful, and able to work independently.
**Job Types**: Full-time, Permanent
Pay: RM1,748.57 - RM3,320.10 per month
