Definition

To perform all confidential typing of contracts, correspondence, quotations and letter, administration of Sales Department, maintain records, statistic, reports and handles all work in the direct care of the Sales Manager.

Specific Responsibilities

1. To assist the Sales Manager to prepare the Sales Management Reports

~ Fair Share Market Share Report

~ Monthly / Quarterly Report Package

~ Hotel Revenue Report

~ Room Segmentation Report

2. To assist the Sales Department to manage and update Sales database.

3. To develop a system and maintain up-to-date information on competitor hotels marketing activities.

4. To maintain marketing intelligence on current trends within the market place through the analysis of daily national, international newspaper and related trade magazines.

5. To manage a system of gaining business leads form market intelligence collected and distributing the leads to Sales Managers.

6. To keep market intelligence and statistics on tourism trends in Malaysia and Asia and advise the Sales Manager for purpose of forecasting and yield management.

7. Assist in typing all contracts, correspondence, quotations and letter and ensure that it was been distributed.

8. Maintain a proper system of filling and tracking.

9. Take minutes of the meeting.

10. Ensure quotation, projects meet deadlines.

11. Ensure all enquires are handle promptly and handle all calls.

12. Ensure all outgoing correspondence is accurate and well presented.

13. Follow up on bookings and reservations of rooms and meeting rooms made.

14. To provide back up service in the team.

15. To ensure the daily administration of Marketing Department in organized.

16. To maintain individual account / management files and customer information.

17. To ensure all files pertaining to sales / potential sales are updated and in reference order.

18. Distribute and records of all incoming / outgoing letter of correspondence.

19. To produce & re-print all correspondence and administration forms.

20. To monitor and re-print the Marketing Promotional Material.

21. Cross check if the sales contract has been signed and returned.

22. To inquire final room count, meal arrangement from the agents / corporate companies.

23. Send out group resume to different departments concerned.

24. To perform other duties as and when assigned by the Sales Manager.

**Job Type**: Permanent

Pay: RM1,500.00 - RM2,000.00 per month
