The role of Manager, Administration mainly organizing and coordinating Outsource Service Provider (OSP) administration, responsible developing intra-office communication protocols, streamlining OSP administrative procedures, inventory control, sub-ordinates supervision and task delegation to ensure organizational effectiveness, efficiency and safety. This role will be support Section Head of Administration for the following categories:
Vendor and Stakeholder Management:
- Manage outsourcing arrangements and Outsource Service Providers under Group Operations Administration’s purview.- Develop excellent and effective collaborative long-term relationships with key stakeholders and external vendors & facilitate vendor evaluations and assessments to minimize procurement risk.- Leveraging on supplier relationships, negotiate to obtain optimal acquisition based on quality, price and fulfillment turnaround.- Work closely with Procurement team to keep abreast of innovative, efficient and cost-effective ways to improve current work processes to drive sourcing and procurement best practices.
Analysis and Business Initiatives:
- Support Senior Management Team in implementing strategic initiatives such as business transformation, environmental/social/governance sustainability and cost management initiatives.- Produce regular and ad-hoc in-depth analysis and reports on total spend and potential savings.- Proactively review existing work processes to identify opportunities and implement process improvement initiatives.
People Management:
- Lead and coach team members to ensure the goals and service targets given by management are carried out efficiently in a timely manner;- Advocate good governance aligned to the Bank’s compliance standards and overseeing staffing/recruiting/training/coaching of direct reports including performance reviews.- Continuously improving team productivity and efficiency of relevant processes.
Jobholder Requirements
- At least 5 years of working experience in the related field.
- Strong communication (both verbal and written) and stakeholders management capabilities.
- Advanced in MS Excel, Ms Words, PowerPoint. Familiar using e-procurement systems and spend analytics tool as part of duties deliverance.
- Analytical, detailed-oriented and independent with ability to multi-task while delivering results.
