Facilities Coordinator cum Receptionist
**Job Description Summary**
The Facilities Coordinator provides assistance to the facility management team to ensure successful service delivery of the client facility needs. Directly supports the facility management team with on-going facility and team related responsibilities.
**Responsibilities**:
**Receptionist Duties**:
- ** Incoming and Outgoing Calls**:
- Handle incoming and outgoing calls, including filtering out unwanted or scam callers.
- Route calls to the appropriate employee.
- Take messages when employees are unavailable and share them promptly.
- ** Visitor Management**:
- Receive visitors and inform the relevant employees.
- Guide visitors through security sign-in procedures.
- Issue appropriate security passes to visitors.
- Ensure visitors are offered refreshments while waiting.
- ** Front Office Maintenance**:
- Maintain the front office/reception area to ensure it is clean, organized, and presentable at all times.
- Manage external conference room booking schedules to optimize space utilization.
- Redirect packages to the mailroom.
**Facilities Coordinator Duties**:
- ** General Facility Management**:
- Act as an interface with clients, visitors, and guests.
- Assist in tactical planning for facility-related goals and objectives.
- Administer and maintain various facilities related services
- Manage and maintain assigned facility management tasks.
- Ensure appropriate follow-up.
- Continuously seek process improvements and enhance overall client satisfaction.
- Provide regular report/update to the management.
- ** Employee Experience Services**:
- Handle receptionist duties as described above.
- Additionally, serve as the first point of contact for employee requests and concerns.
- Redirect requests/concerns to the appropriate contractor or on-site vendor.
Track details of requests and follow up to confirm completion.
