**Role Purpose**:
The role of Personal Assistant to Group Managing Director is to provide high quality executive personal assistance and administration support to the GMD. Provide an efficient and responsive administrative, organizational, and logistic service to the GMD, helping him manage and prioritize his time.
**Main Job Responsibilities**:
- Complete a board variety of administrative tasks for the GMD including managing an extremely active calendar of appointments, plan, coordinate and ensure the GMD’s schedule is followed and respected; acts in a “gatekeeper” capacity, creating win-win solutions for direct access to the GMD’s time and office;
- Schedule on behalf of the GMD meetings between him and his direct reports and the committees and groups to which he is a member.
- Keep and maintain an accurate record of papers and e-correspondence on behalf of the GMD;
- Inclusive of monitoring GMD share trading accounts and providing an accurate monthly consolidation report.
- Set up meeting files, scheduling and calendaring meetings, set meeting agendas, setting location, time and appropriate duration, identifying, inviting and confirming participants, facility arrangements where required;
- Prepare correspondence on behalf of the GMD including drafting of general replies;
- Minute meetings as required and complete research on behalf of GMD;
- Ensure guests meeting with GMD are well taken care of;
- Provide a service that in line with the GMD’s work habits and preferences;
- Ensure the GMD’s travel arrangements are managed effectively;
- Coordinate travel and accommodation requirements in connection with others and ensure arrangements in place for the GMD match requirements;
- Filter general information, queries, phone calls and invitations to the GMD by directing or taking forward such contacts as appropriate;
- Provide a bridge for clear communication and maintain credibility, trust and support between the office of the GMD and staff;
- Work closely and effectively with the GMD to keep him well informed of upcoming commitments and responsibilities, and follow up appropriately;
- Manage the GMD’s office ensuring the proper documentation and record keeping on behalf of the GMD;
- Required to perform ad-hoc tasks as and when required by the GMD
- Well spoken, articulated and can multi-task.
**Minimum Competence & Skill Requirement**:
- **Bachelor’s Degree in Business Administration, Secretarial Administration, Public Administration or related fields.**:
- **At least 5 years working experience in a similar position.**:
- Demonstrable experience in an administrative/executive assistant/PA role in a highly pressurized environment requiring tact, judgment and discretion in handling internal and external contacts (essential).
- Experience of diary management/researching and booking of travel and accommodation (essential).
- Experience of successfully working with senior management
- Discretion and trustworthiness as you will often be a party of confidential information.
- Tactful and diplomatic.
- Able to dress well and comport self properly.
- **Excellent written and verbal communication skills including Mandarin.**:
- Must have well-developed time management skills.
**Salary**: RM4,000.00 - RM5,000.00 per month
