Executive - Administration

**General Summary**:
The Executive - Administration is responsible to maintain the smooth flow of internal operating processes and administrative works for the Local Sales Department.
**Principal Responsibilities**:
- To support direct supervisor or Head of Department in meeting departmental objective and goals.
- To assist in establishing product pricing for each customer category that generates sufficient gross profit while maintaining customer loyalty.
- To interact with customers for product inquiry and order processing.
- To assist in the preparation of quotations as and when required.
- To assist in supervision of inventory level, purchasing and replenishing of consumables, materials and other supplier as required. To liaise with manufacturers or vendors as and when required.
- To work closely with Sales Engineers / Managers to ensuring as effective distribution and timely turnaround of all jobs.
- To coordinate a prompt, efficient and timely flow of paper works.
- To closely monitor billing to ensuring that monthly budget is achieved.
- To make weekly phone calls to the customers on receivable accounts overdue and provide timely feedback to the management on weekly receivable accounts updates.
- To participate in ERP implementation / trainings as and when required and ensuring that all order entries or transactions are entered correctly into the system.
- To supervise office administrative staffs including assisting and resolving problems or arising issues.
- To review and redirect faxes, memos, letters and other documents to relevant personal for further actions.
- To liaise with internal departments on all related matters.
- Any other duties assigned by the Management.
- Attend the company/business calls at all time.
- The company may at any time, deemed necessary, add or amend any of these job responsibilities.
**Knowledge, Skill and Ability Requirements**:
- 1 - 2 years working experience, preferably in industrial sales & services company.
- Able to express oneself clearly and able to write well in English.
- Proficient in the use of Microsoft Outlook, Excel, PowerPoint and Words.
