**Responsibilities**:
**Job Purpose**

The Project Coordinator will play a key role in projects led by the Business Development Project Manager, by assisting in the project management and coordination of schedules, timelines, resources, customer relations, and ongoing progress of the project. The Project Coordinator will also have a direct link to the client for the purpose of ongoing updates regarding status and the exchange of information.

**Project Administration**
- Perform a variety of project administration duties, including project scheduling, resource loading, project tracking, project invoicing, and project reports.
- Complete filing and other word processing as required.
- Provides administrative support to the Project Manager and technical team as required.
- Take notes at meetings, prepare a list of actions, and follow-up with employees responsible for action items.
- Assist and or complete report preparation including formatting, proofreading, shipping, copying, report binding, and word processing.

**Project Coordination**
- Assist with and monitor quality control progress and milestone reviews and sign-offs.
- Work with Project Manager, technical staff, and clients to document and handle project issues as they arise and document solutions.
- Complete the project closeout process, project archiving, and marketing information.
- Serve as the interface between the Project Manager, technical teams, clients, and subcontractors.
- Assists the Project Manager in defining the project plan, activities, milestones, and resource requirements.
- Maintains the project/resource schedule and budget for the project in BST or other company approved software.
- Initiates, reviews, and approves client invoices per the schedule defined in the contract, or as established by the Project Manager at the project onset.
- Prepares and provides clients status reports of project milestones and adjustments to schedules.
- Controls expenditures within limitations of the project budget.
- Identifies project resource requirements with Project Manager and coordinates resources with the appropriate technical team leaders.
- Coordinates preparation and delivery of project deliverables, design documents, etc.
- Tracks change orders and scope changes, and communicates them to the Project Manager, technical team, and the client as required.
- Provides project management back-up as required by the Project Manager.
- Performs such other duties and responsibilities as assigned by his/her supervisor/manager.

**Education and Qualifications**
- 5 years demonstrated experience in project coordination with engineering or environmental projects.
- Previous Project Management experience is and asset.
- Working towards professional designation in Project Management.

**Knowledge, Skills and Experience**
- Excellent written and verbal communication skills.
- Strong problem-solving skills.
- Highly computer literate with advanced skills in Microsoft Word and Excel.
- Previous experience working within Customer Relationship Management Software and Finance and Operations software.
- Excellent organization and time management skills and able to priorities effectively.
- Ability to work effectively under pressure and to deadlines.
- Ability to use own initiative and work with minimum supervision.
- Ability to provide accurate and timely information and communicate updates to all key stakeholders.
- Ability to work with people at all levels in a tactful and diplomatic manner.
