Event & Sales Coordinator

Job Summary
Responsible for assisting clients in planning and executing wedding & corporate events, providing a seamless and memorable experience. This role involves working closely with clients to understand their needs, coordinating logistics with internal and external vendors, and ensuring the highest level of service. You will be responsible for business development and sales and the smooth operations of events held at the mansion. Responsibilities will include promoting wedding packages, managing client relationships, and overseeing event execution to meet client satisfaction and company standards.
**1. Business Development and Client Relations**:
a.Respond promptly to wedding / corporate inquiries and provide comprehensive information on packages, venue options, and services.
b. Manage an active list of prospects and clients
c. Actively engage both new prospects and existing clients to garner more event sales
d. Participate in trade fairs and wedding fairs to reach new clients
e. Schedule and conduct house tours for prospective clients, showcasing event spaces and addressing any questions.
f. Assist clients in selecting wedding / event packages tailored to their preferences and budget.
g. Develop and maintain positive relationships with clients throughout the sales and event planning process.
**2. Event Planning and Coordination**:
a. Collaborate with clients to finalize event details, including food & beverages arrangements, décor, seating, and timeline.
b. Coordinate with vendors, such as external caterers, florists, and decorators, ensuring all services align with client expectations.
c. Coordinating all aspects of events, including venue selection, catering, entertainment and attendee registration.
d. Prepare event itineraries and event orders to guide the operations team and ensure smooth event execution.
e. Oversee event setup, guest arrival, and tear-down, addressing any issues that arise during the event.
f. Planning for potential scenarios that could impact on the integrity of the event.
g. Overseeing the smooth set-up and packing-up of an event and making sure it's on schedule.
h. Handling unexpected issues and emergencies that arise before and during events.
**3. Administrative Support**:
a. Maintain accurate records of client communications, contracts, payments, and event details.
b. Prepare and process contracts and proposals in a timely manner.
c. Assist in tracking sales targets, generating reports, and preparing presentations as needed.
4. **Customer Service Excellence**:
a. Act as the primary point of contact for clients, ensuring timely and effective communication.
b. Resolve any client concerns or last-minute changes professionally and efficiently.
c. Ensure a memorable experience for clients and guests by exceeding service expectations.
5. Flexibility to work weekends, evenings, and holidays as required by event schedules.
6. Ability to handle high-stress situations with professionalism and poise.
7. Physical ability to oversee event setups and coordinate with vendors on and off site.
8. Negotiate contracts with vendors and suppliers for high quality service within budget.
9. Establishing and maintaining relationships with vendors and venues.
10. Handling unexpected issues and emergencies that arise before and during events.
11. Conducting post-event evaluations to determine how future events could be improved.
**Job Types**: Full-time, Permanent
Pay: RM2,800.00 - RM3,500.00 per month
