**Facilities Admin Assistant**

The Facilities and Project Admin Assistant is responsible for providing administrative support to the facilities management team and assisting in the coordination of project-related activities. This role ensures smooth daily operations, efficient project execution, and adherence to organizational standards.

**Key Responsibilities**:
1. Administrative Support: Manage daily administrative tasks, including scheduling meetings, room reservations, and physical arrangements for facility visitors, maintaining calendars, and preparing correspondence. Maintain organized records of facilities and project documents, including contracts, permits, invoices, and reports

2. Facilities Management: Support the maintenance and upkeep of office facilities, ensuring compliance with health and safety regulations. Maintain and update records of office seating. Monitor inventory and order supplies for facilities needs.

3. Project Coordination: Assist in the planning and execution of projects, ensuring timelines and budgets are adhered to. Track project progress and prepare status reports for stakeholders.

4. Budget and Financial Assistance: Support budget preparation and expense tracking for facilities and projects. Process invoices, purchase orders, and expense reimbursements. Raise Purchase Request (PR) forms or eREQ and keep track of approvals.

5. Compliance and Reporting: Ensure compliance with company policies and procedures related to facilities and project management. Prepare and submit regulatory and compliance reports as needed.

6. Team Collaboration: Work closely with the facilities and project teams to identify and address administrative needs. Provide support for team events, meetings, and training sessions.

**Qualifications and Skills**:

- Diploma or degree in Business Administration, Facilities Management, or a related field.
- Proven experience in administrative or facilities/project support roles.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
- Excellent communication (English) and interpersonal skills.
- Ability to work independently and as part of a team.
- Familiarity with health and safety regulations and best practices is a plus.
