Job Title: Administrative Executive (Full time)

Location: Wangsa Maju, Kuala Lumpur

Department: Administration / HR

Reporting To: Project Coordinator / Admin Manager

Key Responsibilities

HR Documentation
- Maintain accurate and up-to-date employee records, including contracts, leave records, medical claims, and training certificates.
- Assist in employee onboarding and offboarding processes.
- Coordinate with HR personnel or external consultants to ensure compliance with statutory HR requirements.

Project Documentation
- Organize and manage all project-related documentation, such as permits, technical submissions, reports, and correspondence.
- Maintain effective filing systems (both physical and digital) to ensure easy retrieval and audit readiness.
- Track document versions and ensure timely distribution to relevant stakeholders.

Staff Matters & Training
- Keep updated records of staff deployment, certifications, and training schedules.
- Coordinate training sessions and maintain comprehensive training logs.
- Support timekeeping, attendance tracking, and related administrative processes for HR and operations.

Administrative Support
- Manage office supplies, travel arrangements, meeting logistics, and general office upkeep.
- Prepare and distribute official communications, including memos, circulars, and correspondence.
- Assist in procuring administrative materials and coordinating with vendors or service providers.

Project Liaison
- Provide administrative support to the Project Coordinator, including handling document flow and scheduling updates.
- Assist in compiling project reports and drafting communication materials.

**Requirements**:

- Education: Diploma or Degree in Business Administration, Human Resources, or a related field.
- Experience: 1-2 years of administrative experience, preferably in the oil & gas or engineering industry.

**Skills**:

- Strong organizational and multitasking abilities.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- High attention to detail and the ability to work independently.
- Excellent communication skills and a collaborative attitude.

Preferred Attributes
- Experience in a fast-paced, project-oriented work environment.
- Familiarity with document control systems or project management tools.
- Ability to handle sensitive and confidential information with professionalism and integrity.

**Job Types**: Full-time, Permanent

Pay: RM2,500.00 - RM3,000.00 per month
