**Job Title: Executive Assistant to CEO & COO**

**Job Summary**:
**Key Responsibilities**:

- Manage and maintain complex calendars, ensuring efficient scheduling of meetings, appointments, and travel arrangements.
- Prepare and coordinate materials for meetings, including agendas, presentations, and follow-up actions.
- Serve as the primary point of contact between the executives and internal/external stakeholders.

**Communication Management**
- Screen and prioritize incoming communications, ensuring timely responses to critical matters.
- **Project Coordination**:

- Support the planning and execution of strategic initiatives and projects led by the CEO and COO.
- Track progress and provide status updates on key projects and deliverables.

**Administrative Management**
- Maintain organized filing systems, both electronic and physical, for easy retrieval of information.
- Handle expense reports, invoices, and reimbursements, ensuring timely submission and accuracy.
- Coordinate logistics for business travel, including booking flights, accommodations, and itineraries.

**Event Coordination**
- Assist in organizing internal and external events, such as board meetings, team offsites, and conferences.
- Handle venue bookings, participant communications, and related logístical details.

**Confidentiality & Discretion**
- Handle sensitive and confidential information with utmost professionalism and discretion.
- Ensure adherence to company policies and protocols in all communications and actions.

**Team Support**
- Liaise with other departments to facilitate cross-functional communication and collaboration.
- Provide occasional support to other executives and team members as required.

**Key Qualifications**:

- Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
- High level of professionalism, confidentiality, and attention to detail.
- Ability to work independently and adapt to a fast-paced environment.

**Other details**:

- Working hours: Monday - Friday: 9.30am - 6.30pm
- Working mode: physical at Sri Petaling for first month followed by hybrid mode
