Sales Coordinator

The Sales Coordinator is responsible for supporting the sales team in generating business opportunities, coordinating event bookings, and ensuring seamless communication between clients, internal teams, and external vendors.
This role involves handling administrative tasks, managing client relationships, and assisting with sales-related activities to promote the company as the preferred venue for conferences, conventions, and large events.
THE JOBSCOPE
- Provide administrative support to the sales team, including preparing contracts, proposals, and client presentations.
- Assist in the preparation and tracking of sales reports, lead generation, and follow-up processes.
- Coordinate sales meetings, including scheduling and preparing meeting materials, agendas, and client-facing documents.
- Act as a liaison between the sales team, clients, and internal departments (event planning, catering, technical services) to ensure smooth event execution.
- Manage event bookings, including tracking event details, contracts, and client communications.
- Assist clients with inquiries, provide venue tours, and present available services, ensuring their needs are understood and met.
- Prepare and distribute event orders and other required documentation to relevant departments.
- Build and maintain relationships with new and existing clients, providing exceptional customer service throughout the sales process.
- Communicate with clients regarding event details, answering questions, and ensuring all arrangements are aligned with their expectations.
- Follow up with clients after events to gather feedback and ensure satisfaction, assisting with future event bookings where applicable.
- Help organize and attend promotional events, trade shows, and networking opportunities to raise awareness of the convention centre’s offerings.
- Support the sales team in setting and achieving monthly, quarterly, and annual sales goals.
- Work closely with the catering, technical, and operations teams to ensure all client requirements are communicated effectively and met.
- Assist with room and space planning, including coordinating audiovisual requirements, food and beverage needs, and any special requests for events.
- Generate and distribute weekly or monthly sales reports, tracking performance, and key metrics.
- Ensure all contracts and client agreements are accurately completed and filed.
**REQUIREMENTS**:
- Excellent organizational and time-management skills, with the ability to handle multiple tasks simultaneously.
- Strong written and verbal communication skills, with the ability to interact effectively with clients, vendors, and internal teams.
- Ability to work well under pressure and meet deadlines.
- Attention to detail and strong problem-solving skills.
- Ability to understand client needs and translate them into actionable plans.
- Customer service-oriented with a proactive, positive attitude.
