Job Description: Finance & Admin Assistant

Department: Finance & Administration

Employment Type: Full-time

Reports To: Finance Manager / Centre Manager

1. Position Summary

The Finance & Admin Assistant is responsible for supporting daily financial operations, administrative duties, record-keeping, client billing, payment management, and ensuring smooth office operations. This role ensures accuracy, compliance, and timely financial reporting while maintaining a professional and organised working environment.

2. Key Responsibilities

A. Finance Responsibilities

Daily Accounting Operations

Handle daily accounting entries (AP, AR, general ledger).

Prepare invoices, receipts, payment vouchers, petty cash, and claims.

Process supplier payments and client collections.

Billing & Collection

Issue invoices for treatment, inpatient services, and packages.

Track outstanding payments and follow up professionally.

Banking

Perform daily bank reconciliation.

Prepare online banking transactions for approval.

Financial Reporting

Assist in monthly closing including P&L summaries, expense tracking, and cashflow reporting.

Prepare simple management reports for the Centre Manager.

Audit & Compliance

Support external auditors with required documents.

Ensure all invoices, receipts, and documents are properly filed.

Maintain compliance with company policies and accounting standards.

B. Administrative Responsibilities

Office Administration

Manage office supplies, stationery, utilities, and maintenance.

Oversee service providers (cleaning, maintenance, IT).

Maintain staff attendance and leave records.

Front Desk & Customer Support

Handle calls, WhatsApp, enquiries and appointment scheduling when needed.

Assist clients with registration, payments, and documentation.

HR Support

Prepare payroll data (attendance, overtime claims).

Maintain employee files and records.

Assist in recruitment scheduling and induction processes.

Operational Support

Prepare letters, minutes of meetings, memos and basic documentation.

Assist the management team with administrative tasks and project support.

Ensure confidentiality of all patients, staff, and company information.

3. Qualifications & Requirements

Diploma/Degree in Accounting, Finance, Business Administration, or related field.

Minimum 1-3 years experience in finance or admin role (healthcare background is an added advantage).

Fresh Grad most welcome.

Basic knowledge of accounting principles.

Proficient in MS Office (Excel, Word) and accounting systems (SQL, AutoCount, or similar).

Strong organisational skills and attention to detail.

Good communication skills in English & Bahasa Malaysia (Tamil/Chinese is an advantage).

Ability to handle confidential information.

Able to work independently and meet deadlines.

Pay: RM2,500.00 - RM3,000.00 per month
