- Maintain comprehensive and up-to-date secretarial records, including minutes, resolutions, and related documentation.
- Organize and coordinate the Annual General Meeting, ensuring compliance with notice periods and documentation.
- Maintain regular communication with shareholders, directors, and regulatory authorities and address inquiries, provide information, and facilitate transparent communication.
- Prepare and file the company's annual return with the SSM
- Notify relevant authorities about any changes in the company's statutory information.
- Interact with authorities such as the Employees Provident Fund (EPF), Social Security Organization (SOCSO), and other relevant agencies to ensure compliance with statutory requirements.
- Update and maintain the company's statutory books, registers, and other documents as required by law.
- Collaborate with finance and legal teams to ensure accurate taxation reporting and compliance and assist in renewing necessary licenses and permits.
**Job Requirements**:
- Diploma in Business Administration, Law, or a related field is acceptable, but a bachelor's degree is highly recommended.
- Proven experience as a Company Secretary in a Malaysian company for a minimum of 2 years.
- Recommended to have Certified Company Secretary Course (offered by professional organizations)
- Comprehensive knowledge of the Companies Act and other relevant regulations in Malaysia.
- Familiarity with the requirements of government agencies like SSM, EPF, and SOCSO.
- Strong understanding of corporate governance principles and legal compliance.
- Excel in using office software for documentation and reporting, and have a keen proficiency in maintaining secretarial records, including minutes and resolutions.
- Effective communication skills for interacting with shareholders, directors, and regulatory authorities.
- Ability to address inquiries, provide information, and facilitate transparent communication.
**Salary**: RM2,500.00 - RM3,000.00 per month
