**Job Description**:
The Project Controller will become a trusted member of the Regional Customer Success team to work on Consulting and Select & Success projects for IFS’s clients. The duties of this role require interaction with GCS Directors and Project Managers to support project tracking, performance monitoring and management reporting. The Project Controller will report to the Sr Manager, Regional Operations Support.
- Manage project timesheets and approval.
- Manage project expense approvals and invoicing.
- Manage the project resource pool and adjust resource demand forecasts.
- Setting up a new project in IFS THOR system.
- Setting up project forecast in IFS Project Financial Tracker system for new projects and reviewing project forecast with Project Managers on a weekly basis.
- Support project team in project-related travel planning including visa processing, flight and hotel bookings.
- Prepare Purchase Order for IFS’s partners (both for Fixed-Price and T&M engagements).
- Ensure all project forecasts are updated into THOR by the Project Managers.
- Ensure accuracy and quality of numbers in project reporting.
- Prepare project reports as requested by the Project Managers and/or GCS Directors for operational reporting and project controls.
- Prepare invoices to Customers and supporting documentation and work with Finance team to track invoice approval and payments.
- Ensure all project transactions are approved at month-end and time transferred.
- Liaise with Finance team on project accruals to be reversed monthly.
- Liaise with Finance team on supplier invoices (PO receipts, PO change orders, invoicing advice, manual supplier invoice reconciliation).
- Provide revenue accrual figures and cost accruals for projects to Finance team.
- Work with Finance team to prepare variance analysis on revenue and cost actuals compared to the forecast each month.
- Track all project budgets, billings, revenue recognition and forecasts for a portfolio of active/ongoing projects.
- Consolidate actual costs and revenue figures from General Ledger to Market Unit Forecast file.
- Monthly Project Dashboard update.
- Work closely with stream leads to update project schedule information and prepare status reports.
- Directly support IFS’s clients’ operational reporting and project control needs.
- Support project and executive meetings such as weekly Project Meeting and monthly Project Status Review Meeting.
- Respond to ad-hoc requests for information from senior management and other stakeholders.
- Contribute to the Services knowledge base and project collaboration tools.
- Collaborate with peers in the Operation Support team to develop and share best practices.
**Qualifications**:
- A relevant University degree and/or equivalent experience in Project Financial Operations and Administration essential.
- Minimum of 2-3 years of experience in a similar role, ideally within the consulting, enterprise software, or system integrators environments.
- Proficiency in using productivity tools such as Excel, Excel Macros (VBA), MS Project, SharePoint and SharePoint Designer.
- Good business aptitude and fast learner.
- Strong problem solving and analysis skills.
- Financial analysis and accounting knowledge.
- Excellent communication skills, both written and verbal.
- Demonstrated ability to focus on detail, consistency and quality in written communications and presentations.
