Job Summary

Secretarial Executive is responsible for providing comprehensive secretarial and administrative support to the Manager of the Secretarial Division, ensuring compliance with statutory and regulatory requirements. The role involves maintaining accurate company records, preparing board meeting materials, and handling corporate governance matters.

Job Responsibilities

Core Secretarial Functions

Corporate Governance:

  • Assist in the preparation of board and shareholders' meetings, including notices, agendas, and minutes.
  • Maintain proper custody of company seals and documents.
  • Provide support in implementing good corporate governance practices.

Documentation and Filing:

  • Prepare and maintain accurate and complete company records and files.
  • Ensure proper filing and retrieval of documents.
  • Implement efficient document management systems.

Administrative and Support Functions

Correspondence:

  • Handle incoming and outgoing correspondence related to company secretarial matters.
  • Prepare letters, emails, and other communications as required.

Financial Management:

  • Assist in preparing invoices and collecting payments.
  • Maintain accurate financial records and reports.

General Office Support:

  • Provide general administrative support as needed, such as answering phones, scheduling appointments, and managing office supplies.
  • Any other task assigned by the superior from time to time

Job Requirements

  • Bachelor's Degree in Corporate Administration, Business Administration, or a related field.
  • Candidates currently pursuing ICSA (part-time/self-study) or equivalent qualification are encouraged to apply.
  • Minimum of
    2 years' experience
    in a company secretarial role.
  • Strong understanding of
    company law, statutory requirements, and related regulations
    .
  • Excellent
    organizational and time management skills
    .
  • High attention to detail and accuracy in work.
  • Proficient in
    Microsoft Office applications
    (Word and Excel).
  • Strong
    communication and interpersonal skills
    .
