Job Scope – Accounts Executive

Position Summary

To ensure accurate and timely processing of all Accounts Receivable (AR) transactions, maintain proper documentation for customer accounts, and support month-end closing through accurate General Ledger (GL) reporting in compliance with company policies, internal control standards, and statutory requirements.

Key Responsibilities

  1. Accounts Receivable (AR)

Process and record daily billing for all city ledger accounts (rooms, banquets, F&B, retail, etc.).

Verify guest ledger transfers, ensuring proper supporting documents and approvals.

Prepare and issue invoices to customers promptly according to contracts or event orders.

Record payments received via cash, cheque, credit card, bank transfer, or e-payment and perform daily AR receipts posting.

Perform credit card reconciliation and follow up with merchant banks for discrepancies.

Monitor and follow up on outstanding debts; send monthly statements to debtors.

Assist in the credit control process, including ageing review, follow-up reminders, and credit suspension recommendations.

Reconcile AR sub-ledger to the General Ledger monthly.

Ensure accuracy of master folio, non-guest folio, and billing instructions from the PMS.

  1. General Ledger (GL) & Financial Reporting

Prepare journal entries for month-end closing (accruals, reclassifications, adjustments).

Reconcile key GL accounts, including AR, prepayments, deposits, payroll liabilities, and other balance sheet items.

Assist in preparing month-end financial reports, schedules, and supporting documents for management review.

Support internal and external audit requirements by preparing requested schedules and providing explanations.

Ensure all entries are properly supported, approved, and in compliance with company Delegation of Authority (DAL).

Participate in the monthly P&L review to identify abnormal variances or posting errors.
