Job Description: HR & Admin Executive
Position Overview

The HR & Admin Executive is responsible for supporting the full spectrum of HR operations and ensuring the smooth running of daily office administration. This role involves handling recruitment activities, employee records, office coordination, and providing general administrative support to the management team.


Key Responsibilities
1. Recruitment & Talent Acquisition
  • Assist in the end-to-end recruitment process, including job posting, shortlisting, scheduling interviews, and conducting initial screenings.
  • Coordinate with hiring managers to understand hiring needs and timelines.
  • Maintain candidate databases and recruitment tracking documents.
  • Assist in onboarding preparations and new joiner orientation.
2. HR Operations
  • Maintain and update employee records, documents, and HR databases.
  • Support the preparation of HR letters, memos, reports, and related documentation.
  • Assist with leave management, attendance tracking, and HR-related enquiries.
  • Support HR policies, SOP updates, and general HR administrative tasks.
3. Payroll Support
  • Assist in collecting attendance reports and payroll-related data.
  • Coordinate with the payroll team to ensure timely and accurate salary processing.
  • Maintain confidentiality of payroll and employee information.
4. Office Administration
  • Ensure smooth daily office operations and provide administrative support when needed.
  • Manage office supplies, equipment maintenance, and service providers.
  • Handle office documents, filing, courier arrangements, and general administrative tasks.
  • Assist in organizing meetings, events, and office activities.
5. General Support
  • Prepare reports, documentation, and follow-up on administrative tasks assigned by management.
  • Coordinate with internal teams and external vendors where necessary.
  • Perform any ad-hoc duties as assigned by management.
Requirements
  • Diploma or Bachelor's degree in Human Resources, Business Administration, or related field.
  • Minimum 1–2 years of experience in HR, recruitment, or office administration.
  • Good understanding of basic HR operations, recruitment processes, and office admin procedures.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and basic HR systems.
  • Able to speak and read Chinese (Mandarin) to support internal communication and documentation.
  • Strong communication, coordination, and organizational skills.
  • Detail-oriented, responsible, and able to handle confidential information.
  • Able to work independently and manage multiple tasks at the same time.
