Job Purpose

The Sales Support Executive – Tenders & Proposals plays a key role in driving the commercial success of the company by managing the preparation, coordination, and submission of tenders and proposals for energy solution projects. This role ensures all submissions are accurate, competitive, and compliant with technical and contractual requirements while providing strong administrative and analytical support to the sales and business development teams.

Key Responsibilities

Tender & Proposal Management

  • Review and analyze inbound tender documents, RFPs, and RFQs related to energy projects (renewable energy, power generation, energy efficiency, or electrical systems).
  • Coordinate and manage the end-to-end tender process, including document preparation, costing sheets, technical clarifications, and submission in line with deadlines.
  • Liaise with internal departments such as Engineering, Procurement, Project Management, Finance, and Legal to gather technical and commercial inputs.
  • Attend all tender briefings/interviews and conduct site visits when required.
  • Prepare accurate bid documentation, ensuring compliance with customer requirements, company policies, and applicable standards.
  • Maintain and update the tender tracking system, ensuring visibility on bid status, deadlines, and results.
  • Support post-submission activities including clarifications, negotiations, and project handovers.
  • Hunt/discover/build outbound tenders leads from government and commercial accounts.

Sales Administration & Coordination

  • Assist the sales team with quotation preparation, project costing, and proposal summaries.
  • Work with Sales Leader for tender assignments to sales team.
  • Maintain and update CRM systems with tender and customer information.
  • Prepare standard sales reports, bid status summaries, and performance dashboards for management review.
  • Support business development initiatives by researching potential clients, projects, and tender opportunities.

Customer & Stakeholder Engagement

  • Act as a communication bridge between the company and clients during the tendering process.
  • Ensure timely responses to client queries, requests for information (RFI), and other documentation needs.
  • Build and maintain professional relationships with customers, consultants, and suppliers to enhance business opportunities.
