Role Summary

The Customer Service & Order Fulfillment Coordinator manages customer orders, shipment tracking, and returns while liaising with sales, inventory, and operations teams. Responsible for accurate order processing, timely delivery, and maintaining system records, the role ensures smooth order fulfillment and excellent customer service in a fast-paced environment.

Key Responsibilities

  • Process customer orders and handle administrative tasks, including proper filing of all paperwork and daily operational duties.
  • Liaise with customers and respond to their weekly schedules.
  • Coordinate with Inventory and Operations teams across regions to ensure timely delivery of goods.
  • Ensure customers' delivery requirements and expectations are fully understood and met.
  • Update customer packing lists and commercial invoice (CI) information upon shipment.
  • Track shipments and promptly collect customers' acknowledged delivery documents.
  • Maintain and update the Anixter System Delivery Schedule accurately and on time.
  • Coordinate with relevant departments to process RA (returns from customers), RTV (returns to vendors), and RMA replacements according to Levels of Authority.
  • Record service failures promptly in the customer service database.

Requirements

  • Diploma or Degree in Business, Logistics Management, or a related field.
  • 2 to 5 years of relevant working experience.
  • Proficient in English, both spoken and written.
  • Strong focus on customer service and order management.
  • Proficient in Microsoft Office applications, including Word, Excel, Access, and PowerPoint.
  • Versatile team player with excellent communication and interpersonal skills.
  • Able to work in a fast-paced environment and meet demanding deadlines.
  • Meticulous, proactive, and highly organized.
  • Highly motivated, result-oriented, and willing to take on challenges in a project-based environment.
