Responsibilities & Duties:

Administration

  • Maintain HR and administrative documentation (data entry, filing, etc.).
  • Issue and manage documents such as purchase orders, invoices, and delivery orders.
  • Handle data entry for accounts payable and receivable.
  • Perform general administrative tasks as assigned by the Manager.

Logistics & Warehouse Operations

  • Oversee stuffing and unstuffing activities for containers.
  • Ensure accuracy in orders, bills, inventory, received items, and deliveries.
  • Maintain warehouse records and documentation for audits (e.g., Food Safety, GMP, Pest Control).
  • Monitor parcel requirements, arrange express delivery, track shipments, and notify recipients upon arrival.

Import & Export Operations

  • Import:

  • Handle import purchases and track shipments.

  • Prepare import documentation and perform import shipment analysis.
  • Organize and maintain import records and filing.
  • Export:

  • Manage export orders and track outgoing shipments.

  • Prepare export documentation (e.g., Health Certificate, Certificate of Origin, Invoice, Packing List).
  • Conduct export shipment analysis and maintain filing.

Customs & Taxation (Ad-Hoc)

  • Liaise with Royal Customs for tax exemption approvals on imported machinery/raw materials.
  • Ensure all Customs-related applications and approvals are submitted accurately and on time.
  • Submit monthly and yearly reports to Customs as required.
  • Ensure timely payment of all applicable taxes related to logistics and import/export activities.

Transportation & Delivery Coordination

  • Arrange local transportation for sales orders: verify order details, schedule transportation, track delivery, and notify recipients.
  • Prepare payment documents for logistics and forwarding services.

Requirements & Skills:
  • Basic understanding of Malaysian Government laws, regulations, and practices.
  • Basic knowledge of accounting and administrative procedures.
  • Knowledge of shipping processes is an advantage.
  • Proficient in basic computer applications for administrative tasks.
  • Strong organizational, time-management, and record-keeping skills.
  • Detail-oriented, resourceful, and people-oriented with a proactive work attitude.
  • Training will be provided for those with/without experience.
