1) Job Summary:

The Operation Assistant supports shipping, forwarding, and logistics activities by handling daily reporting, documentation, and communication with clients and authorities, as well as assisting in crew mobilization. The role ensures proper record-keeping, compliance with operational requirements, and timely submission of documents, and is also responsible for attending and performing ad-hoc assignments as directed by management or superiors.

2) Key Responsibilities:

Operational Reporting & Documentation

 Report daily operational activities to superior.

 Update Work Permit tracker daily and submit to superior every Friday.

 Ensure all documents are escalated to superior or client promptly for timely resolution.

 Submission related documentation to government authorities.

 Assist operations/admin team to prepare work permit applications, special passes, and other required applications.

 Perform administrative tasks including handling billing records, work permit applications, filing, etc.

Communication & Coordination

 Assist in email communication and liaising with clients.

 Liaise with relevant authorities such as the Immigration Department, Marine Department, Agents, etc.

Logistics & Crew Movement Support

 Provide logistics support, including transporting crew as required by operations.

 Assist in daily logistics planning activities.

 Assist to monitor sign-on / sign-off activities in marine-related systems.

General Operational Support

 Handle and manage matters related to daily operational work.

 Perform any other duties assigned by HOD or Management.

3) Authority

 Liaise with clients, agents, and authorities as required.

 Provide accurate daily report submissions to supervisors.

 Support operational and administrative process execution.

4) Requirement & Qualification

  • Education: Minimum Diploma qualification.
  • Experience: 1–2 years of experience in operations or similar role.
  • Languages: Proficient in English and Bahasa Malaysia (both written and spoken).
  • Technical Knowledge: Computer literate.

5) Preferred Skills & Competencies:

 Good communication and Interpersonal skills.

 Strong organizational and time-management abilities.

 Detail-oriented with good record-keeping skills.

 Able to multitask and work under pressure.

 Reliable, proactive, and able to work independently.

 Team player with a positive working attitude.

 Willing to work overtime.

 Able to drive varies type of land transport will be advantage.
