We are seeking a proactive and detail-oriented individual to join our team as an Admin & Operations / Shipping Documentation Clerk. The ideal candidate will support day-to-day office administration, operational coordination, and import/export shipping documentation.

Key Responsibilities

Shipping & Documentation

  • Prepare shipping documents for import/export
  • Liaise with freight forwarders, shipping lines & customs authorities
  • Track shipments and ensure timely clearance and delivery
  • Maintain proper shipping records and ensure compliance with customs regulations

Operations Coordination

  • Coordinate daily operational tasks and assist with job scheduling
  • Liaise with internal teams, customers, suppliers and transport arragement
  • Follow up on work progress and ensure timely completion of tasks
  • Support management in operational planning and reporting

Administrative & Office Support

  • Handle general clerical duties (filing, data entry, photocopying, scanning, document control)
  • Manage emails, phone calls, and correspondence
  • Prepare basic documents such as quotations, POs, invoices & reports
  • Maintain office records and stationery inventory
Requirements
  • Diploma/ Bachelor Degree in Business, Logistics, or related field
  • Knowledge of shipping documents & basic logistics process preferred
  • Proficient in Microsoft Office (Excel, Word, Outlook)
  • Good communication and coordination skills
  • Organized, responsible, and able to work independently
