Admin & Operations / Shipping Documentation Clerk

We are seeking a proactive and detail-oriented individual to join our team as an Admin & Operations / Shipping Documentation Clerk. The ideal candidate will support day-to-day office administration, operational coordination, and import/export shipping documentation.
Key Responsibilities
Shipping & Documentation
- Prepare shipping documents for import/export
- Liaise with freight forwarders, shipping lines & customs authorities
- Track shipments and ensure timely clearance and delivery
- Maintain proper shipping records and ensure compliance with customs regulations
Operations Coordination
- Coordinate daily operational tasks and assist with job scheduling
- Liaise with internal teams, customers, suppliers and transport arragement
- Follow up on work progress and ensure timely completion of tasks
- Support management in operational planning and reporting
Administrative & Office Support
- Handle general clerical duties (filing, data entry, photocopying, scanning, document control)
- Manage emails, phone calls, and correspondence
- Prepare basic documents such as quotations, POs, invoices & reports
- Maintain office records and stationery inventory
- Diploma/ Bachelor Degree in Business, Logistics, or related field
- Knowledge of shipping documents & basic logistics process preferred
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Good communication and coordination skills
- Organized, responsible, and able to work independently
