Responsibilities

  1. Supplier Management
  2. Identify, evaluate, and maintain a list of approved suppliers.

  3. Coordinate with Risk & Compliance team for supplier approval processes.

  4. Purchase Order (PO) Processing

  5. Prepare and issue accurate Purchase Orders (POs) based on approved requisitions.

  6. Verify pricing, quantity, and terms before issuing POs.

  7. Negotiation & Cost Efficiency

  8. Source for quotations and conduct price comparisons (minimum 3 quotes).

  9. Negotiate terms with suppliers to ensure best value without compromising on quality.

  10. Compliance & Documentation

  11. Ensure all procurement activities adhere to the company's SOPs and ethical practices.

  12. Maintain accurate and complete procurement records and documentation.

  13. Interdepartmental Coordination

  14. Liaise with internal teams including requestors, warehouse, and finance for smooth material flow.

  15. Communicate updates and resolve issues via email, calls, or messaging tools.

  16. GRN & PO Closure

  17. Issue Goods Received Notes (GRNs) upon delivery.

  18. Update the Accounts Department and maintain the Invoice Reconciliation Report.

  19. Other Duties

  20. Perform other purchasing-related tasks as assigned by the HOD.
  21. Provide general administrative support to the purchasing team as needed.

Requirements and skills

  • Proven work experience as a Purchasing Officer/Assistant or similar role
  • Good knowledge of vendor sourcing practices (researching, evaluating and liaising with vendors)
  • Hands-on experience with purchasing software (SAP Systems)
  • Understanding of supply chain procedures
  • Solid analytical skills, with the ability to create financial reports and conduct cost analyses
  • Negotiation skills

Job Type: Full-time

Pay: RM3, RM4,500.00 per month
