Customer Service Coordinator

Job Overview
You will perform day-to-day receiving, inventory control, picking/packing and shipping for sterile and temperature-sensitive stents and balloon catheters. Working inside a Class C controlled warehouse that is audited to ISO 13485 & GDPMD, you will keep SAP/WMS stock records 100 % accurate so that life-saving devices reach hospitals OTIF (on-time-in-full). This role is ideal for detail-oriented self-starters who enjoy hands-on work and aspire to build a career in medical-device supply chains.
Responsibilities:
- Respond to customer inquiries via phone and email in a timely and professional manner.
- Work closely with sales team for customer orders
- Communicate proactively on product availability and potential issues with customers/ distributors.
- Maintain high compliance of company policies and procedures.
- Resolve customer complaints and issues efficiently, ensuring customer satisfaction.
- Maintain accurate records of customer interactions and transactions.
- Provide information about products and services to customers.
- Ensure accurate order process, order confirmation with fully compliance with regulatory requirement.
- Collaborate with other departments to ensure a seamless customer experience.
- Identify and escalate priority issues to the appropriate channels.
- Stay updated on product knowledge and company policies.
- Assist in internal / external audits (e.g. ISO 13485, MOH MDA).
- Follow and renew distributorship agreements
- Collaborate with cross-functional teams including Customer Relations, Quality Assurance, Regulatory Affairs, Sales/Marketing, Finance, Production and vendors to support business objectives
Requirements:
- Diploma or above in Supply Chain / Logistics.
- Proven experience in a customer service role.
- Excellent communication and interpersonal skills.
- Strong problem-solving abilities and attention to detail.
- Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
- Proficiency in using customer service software and Microsoft Office Suite.
- A positive attitude and a strong commitment to providing outstanding customer service.Basic SAP or other WMS; good MS Excel skills.
- English & Bahasa Malaysia essential; Mandarin a plus.
- Willing to work shifts / OT & follow strict GMP documentation.
