Key Responsibilities:

1. Industrial Relations & Union Handling

  • Act as a key liaison between management and the union at the Kluang plant.
  • Handle grievances, disciplinary actions, and employee counseling.
  • Support the HR Manager during collective agreement (CA) discussions and ensure implementation of agreed terms.
  • Maintain harmonious employee–union relations and ensure compliance with the Industrial Relations Act 1967 and Employment Act 1955.
  • Prepare reports and documentation for any industrial or disciplinary cases.

2. Foreign Worker Management

  • Manage the full spectrum of foreign worker administration including recruitment, permit applications, renewals, and repatriation.
  • Liaise with agents, Immigration Department, JTK, and KDN to ensure full compliance with government requirements.
  • Oversee welfare, attendance, and disciplinary matters of foreign workers.
  • Maintain up-to-date databases for work permits, passports, and visa expiry dates.

3. Hostel Management

  • Oversee the management and maintenance of hostels for foreign workers.
  • Ensure hostel facilities meet legal, safety, and hygiene standards.
  • Conduct regular inspections to ensure cleanliness and proper living conditions.
  • Manage worker allocation, transportation arrangements, and compliance with local council regulations.
  • Address and resolve issues related to hostel operations and worker welfare promptly.

4. Recruitment & Onboarding

  • Handle full recruitment cycle for the plant – including staff, operators, and contract workers.
  • Coordinate with departments to identify manpower needs and plan timely recruitment.
  • Prepare offer letters, employment contracts, and conduct employee onboarding and orientation.
  • Maintain a recruitment tracker and update management on hiring progress.

5. SOCSO, EPF, EIS & Statutory Compliance

  • Ensure timely submission of statutory contributions (SOCSO, EPF, EIS).
  • Handle SOCSO claims, workplace accident reporting, and liaise with relevant agencies.
  • Ensure compliance with all labor laws and HR policies.
  • Support internal and external HR audits.

6. Expatriate Management

  • Handle work permits, employment passes, and visa applications or renewals for expatriates.
  • Liaise with Immigration, TalentCorp, and MIDA for related documentation and processes.
  • Maintain proper expatriate records and ensure adherence to company and regulatory guidelines.

7. HR Operations & Support

  • Support payroll preparation by providing accurate HR data.
  • Assist in HR reporting, manpower planning, and employee engagement activities.
  • Handle other HR-related tasks as assigned by management.

Qualifications & Requirements:

  • Bachelor's Degree in Human Resources, Business Administration, or related field.
  • Minimum 3–5 years' experience in HR operations, preferably in a manufacturing environment.
  • Strong understanding of Malaysian labor laws, IR practices, and statutory compliance.
  • Experience in union handling, foreign worker administration, and hostel management is essential.
  • Good interpersonal, communication, and problem-solving skills.
  • Proficient in Microsoft Office and HR systems.
  • Able to work independently and maintain confidentiality.
