Role Description
This is an on-site, contract role for an Operations Admin Executive located in WP. Kuala Lumpur. The Operations Admin Executive will perform daily administrative tasks to support operational efficiency, coordinate with internal and external stakeholders, and manage executive-level administrative responsibilities. Additionally, the role requires maintaining accurate documentation and facilitating seamless communication within the team.
Roles and Responsibilities:
1. Administrative Support
• Manage day-to-day administrative tasks including documentation, filing, emails,
correspondence and scheduling.
• Ensure all emails related to operations are responded to in a timely and professional
manner.
• Prepare meeting minutes, coordinate meetings and assist with general office
administration.
• Maintain office supplies, stationery and operational support materials.
2. Operations Coordination
• Coordinate with internal departments (HR, Finance, Operations Team Leads) to
support operational activities.
• Assist in processing operational documents such as work orders, service reports,
delivery forms and job sheets.
• Support manpower mobilization, onboarding documentation and deployment
updates where required.
• Serve as the secretariat for all HQ Operation meetings under JLG Centrix Sdn Bhd,
including arranging meeting, preparing documentation, and ensuring smooth
coordination.
• Keep responsibility for ensuring smooth administrative support for all operational
processes.
3. Documentation & Compliance
• Ensure all operational documents are properly updated, organized and compliant
with company SOPs.
• Keep operational filing always updated, including minutes of meetings, approvals,
reports, and all operation-related documents, ensuring easy accessibility and proper
version control.
• Assist with audit preparations, document tracking and ensuring timely submission of
required reports.
• Maintain records of permits, approvals and operational certifications.
4. Data Entry & Reporting
• Maintain and update operational databases, logs, trackers and systems.
• Generate daily/weekly/monthly operational reports for management review.
• Ensure accuracy of data entry and timely updating of operational information.
• Prepare data analysis for all operation-related information and to assist management
in monitoring performance and improving operational efficiency.
5. Internal & External Liaison
• Serve as the point of contact for communication between operations, vendors, clients
and contractors.
• Support coordination of logistics arrangements, vendor requests and client inquiries.
• Manage follow-ups on pending tasks, documentation or approvals.
6. Ad-Hoc Support
• Assist in preparing work plans, timelines, and checklists for operational activities or
deployments.
• Support the creation or revision of SOPs, workflows, and operational documentation.
• Provide administrative support for special projects or operational improvement
initiatives.
• Perform other duties and tasks as assigned by the Operations Manager to support the
operational needs of the business.
Qualifications
- Strong skills in Executive Administrative Assistance and Administrative Assistance
- Proficiency in General Administration and handling day-to-day administrative tasks
- Exceptional Interpersonal Skills to liaise with team members and stakeholders effectively
- Excellent Communication skills, including verbal and written proficiency
- Ability to work under minimal supervision and effectively manage responsibilities
- Strong organizational skills and attention to detail
- Familiarity with office management tools and software
- Previous experience in real estate or infrastructure industries is an advantage
