HR & Admin Executive

We are seeking a hands-on and resourceful HR & Admin Executive to manage the full spectrum of HR and administrative functions. The role encompasses recruitment, payroll, employee relations, policy compliance, training coordination, foreign worker management and general administration, The successful candidate will play a key role in supporting management and ensuring the company's operations run efficiently and smoothly.
What you'll be doing:-
a) Human Resource
• Maintain and update employee records in the HR database and physical files.
• Manage the full-cycle recruitment process including job posting, screening, interviewing, shortlisting, and job offer coordination.
• Process monthly payroll, ensuring accuracy and timely processing, including statutory submissions (EPF, SOCSO, EIS, LHDN, HRDC).
• Monitor and manage attendance, leave, overtime, verifying staff claims.
• Handle employee relations, grievances, and support conflict resolution and counselling.
• Conduct investigations and disciplinary actions, ensuring proper documentation and compliance with labour laws and company SOPs.
• Assist in developing/updating company HR policies and procedures.
• Coordinate training, HRDC submissions, and employee development programs.
• Manage foreign worker matters including quota applications, permit renewals, medical check-ups (FOMEMA), passport renewals, SOCSO i-Assist updates, and hostel management.
b) Administrative
• Manage administrative duties to ensure smooth operations.
• Arranging employee business travel (hotel and flight bookings), and receiving visitors.
• Oversee office upkeep and equipment maintenance, and facility cleanliness.
• Manage company vehicle upkeep, insurance, road tax, Puspakom inspection, and maintenance schedules.
• Coordinate licence renewals and liaise with government bodies and local authorities.
• Prepare HR and administrative reports for management review.
• Perform general administrative and ad-hoc duties as assigned.
What we're looking for:-
• Diploma/Degree in HR Management, Business Administration, or related field.
• Minimum 3 years' experience in HR and administration.
• Strong knowledge of labour laws, statutory compliance, and HR best practices.
• Proficient in MS Office and HR/payroll systems (e.g., AutoCount Cloud Payroll).
• Strong organizational, communication, and problem-solving skills.
• High professionalism, confidentiality, and integrity.
