Responsibilities
Support the purchasing of materials, goods, and services in accordance with company requirements, ensuring compliance with quality, quantity, and budget standards.
Ensure all quotations meet company expectations, providing competitive pricing, high-quality goods/services, and reliable service terms.
Maintain a well-structured and accessible filing system for all procurement documents and records to enable efficient operational support.
Process requests for new vendor codes when onboarding suppliers, ensuring smooth and accurate integration into the procurement system.
Issue Purchase Orders (POs) and create the Request for Quotation (RFQ) to approved suppliers, ensuring accurate and timely communication of purchase details, delivery schedules, and payment terms.
Review requisition orders for completeness and accuracy before processing, ensuring proper documentation and alignment with internal procurement standards.
Regularly review purchasing agreements with vendors to ensure terms align with company objectives, and manage contract renewals or adjustments as necessary.
Compare product deliveries against issued purchase orders to verify compliance with order specifications and promptly resolve any discrepancies with vendors.
Address inquiries from suppliers regarding order changes, cancellations, or status updates, ensuring clear and timely communication.
Assist with ad-hoc tasks and special projects as directed by Procurement Executives and the Head of Department, ensuring timely and accurate completion.
Ensure all domestic distribution operations in DOPSB comply with Malaysian laws and regulations, FGV's policies, DOPSB's SOPs, ABMS Policy, and ISO9001 standards.
Requirements
Diploma in Business Administration or its equivalent.OR
SPM/STPM or equivalent
Minimum 3 years' experience in Procurement or related field
Proficient in English, Bahasa Malaysia (written and spoken)
Strong understanding of procurement and supply chain processes
Knowledge in inventory management, order processing, and supplier coordination
