Core Responsibilities and Duties

The Operations Manager, "Customer Service Manager" is responsible for delivering
administrative support, office and sales support (customer service), warehousing, and distribution activities for Malaysia.

General Responsibilities

  • Support and contribute to the Company/Group's overall strategies.
  • Abide by the Company/Group working rules and regulations.
  • Actively promote Company/Group policies and procedures.
  • Ensure all reporting requirements are completed accurately and on time.
  • Apply current Operating Procedures and recommend improvements, rationalisations, or simplifications in line with Group guidelines and local authority requirements.
  • Keep the General Manager and relevant stakeholders fully informed of any issues that may affect business operations. All relevant information and recommendations must be proactively communicated, not only upon request.

Inventory Management

  • Identify and implement opportunities to optimize inventory levels to achieve Company KPIs (delivery performance, stock holding, inventory weeks, etc.).
  • Regularly review inventory, including safety stock and obsolescence, using tools such as
    ERP–JDE, PowerBI, CRM, IQM
    , etc., and recommend appropriate ordering and stocking levels.
  • Ensure effective management of ordering processes with supply companies and external parties.
  • Maintain FIFO (first-in, first-out) practices and ensure proper storage and ease of retrieval of products.
  • Ensure stock accuracy through appropriate cycle counts and stock count activities.

Warehousing & Distribution

  • Plan, coordinate, and execute warehouse and distribution workflows effectively.
  • Review and evaluate work processes and resource utilization to improve efficiency and productivity.
  • Ensure optimal utilization of warehouse space and improve material-handling methods to enhance productivity.
  • Ensure adequate levels of warehouse equipment, tools, and consumables are maintained or replenished in a timely manner.
  • Recommend appropriate external service providers (transporters, forwarding agents, etc.) to support distribution activities.

Administrative & Office Support

  • Ensure office administration functions are effectively managed.
  • Ensure the HQ office is properly maintained, including liaison with maintenance contractors, cleaners, and the landlord.

Sales Support / Customer Service

  • Ensure customer enquiries, quotations, and order intake processes are handled efficiently and systematically.
  • Ensure accurate and complete entry of information into JDE.
  • Review and ensure timely responses to frontline sales and service requests.
  • Maintain effective processes and controls to protect the company's targeted gross profit levels.

Qualifications

~Mandarin would be advantageous to have due to the need to liaise with clients from overseas.
