Job Description

Position General Summary

Coordinate the tendering process from tender advertisement/invitation to bidders, tender briefing and site visit up to tender closing, ensuring full compliance with Standard Operating Procedures (SOPs) and delivering timely, high-quality, and effective outcomes.

Essential Position Functions

  1. Follow up on tender calls to ensure they are carried out on time and all documents are ready.
  2. Assist with tender briefings by helping organize sessions and preparing materials for bidders.
  3. Prepare and send tender addendum or clarifications, and follow up to make sure all bidders receive the updates.
  4. Handle extensions of tender closing dates, including notifying bidders and updating timelines.
  5. Update the event tracker and tender file to keep records accurate and complete.
  6. Manage tender closing by ensuring proper handling and registration of submissions, following company procedures.
Key Challenges
  1. Meeting tight timelines for tender calls, briefings, and closing activities while ensuring accuracy and compliance.
  2. Coordinating with multiple stakeholders to gather and distribute information promptly and correctly.
  3. Managing frequent changes such as clarifications or extensions, and ensuring all updates are clearly communicated to bidders.
  4. Maintaining accurate records and documentation for audit readiness under high-volume workloads.
  5. Ensuring smooth tender closing while handling submissions securely and in line with strict procedures.
  6. Minimizing errors that could lead to miscommunication or delays in the procurement process.
Skills

A highly motivated individual with an analytical mindset, strong attention to detail, and excellent communication and writing skills. Demonstrates high integrity and professionalism in all interactions.

Education
  • Degree in any related discipline preferably in Purchasing & Supply Management 
Relevant Industries
  • Degree holder with minimum CGPA 3.0 and minimum 1 year relevant experience.
