Role Description

This is a full-time, on-site role based in Shah Alam for a Supply Chain Operations Manager. The role involves overseeing the end-to-end supply chain processes, including procurement, inventory management, logistics, and distribution. Responsibilities include ensuring timely delivery, streamlining operations, coordinating with stakeholders, and maintaining compliance with regulatory and company standards. The manager will work on improving efficiency and ensuring optimal resource utilization for seamless supply chain operations.

  1. Leadership & Departmental Oversight

Lead, supervise, and mentor the Admin (Invoicing & Inventory) and Purchasing teams.

Ensure smooth cross-department coordination, workflow efficiency, and resource planning.

Establish SOPs, improve operational processes, and enforce compliance with company policies.

Drive departmental KPIs, performance evaluations, and continuous improvement initiatives.

Serve as the main liaison between management and both departments.

  1. Invoicing & Administration Management

Ensure accuracy of Sales Orders/Requests processing and verification of vendor invoices.

Oversee comparison of invoices, purchase orders, shipping and receiving documents.

Approve correction of discrepancies in prices, quantities, and billing totals.

Coordinate with logistics to ensure timely dispatch of goods.

Supervise product pricing updates, product returns, and CN/DN documentation.

Ensure proper filing, documentation control, and compliance with filing guidelines.

Resolve escalated administrative or invoicing issues and ensure timely completion of tasks.

  1. Inventory Management

Oversee inventory activities including stock movements, adjustments, and deletions.

Ensure accurate and up-to-date inventory records across the system.

Develop and maintain efficient inventory management procedures and loss-prevention programs.

Review and reconcile inventory discrepancies and ensure corrective actions.

Analyze stock levels and approve replenishment plans.

Oversee stock issue reporting, unusable product surveys, and inventory documentation.

  1. Purchasing & Supplier Management

Manage the full spectrum of purchasing functions and inbound goods shipment arrangements.

Develop and implement purchasing strategies to support business profitability.

Review vendor performance, research new suppliers, and compare quotations for cost efficiency.

Lead negotiations on pricing, contracts, and supplier terms.

Ensure supplier compliance with contract agreements, quality standards, and delivery schedules.

Solve issues related to defective, damaged, or incorrect goods with vendors.

Approve purchase requisitions and ensure optimal stock levels.

Work closely with warehouse teams to ensure proper storage and material handling.

Ensure knowledge and compliance with Form E, Form D, import and export regulations.

  1. Reporting & Documentation

Prepare consolidated reports for inventory, purchasing performance, and invoicing activities.

Ensure accuracy, confidentiality, and timely submission of departmental documents and data.

Support management with analysis and recommendations for process optimization, cost savings, and operational improvements.

  1. Other Responsibilities

Undertake any duties assigned by the Director or Senior Management.

Drive teamwork, ethical conduct, and a culture of continuous improvement within both departments.

Qualifications

  • Strong proficiency in supply chain management, logistics, and inventory management
  • Skills in procurement processes, demand planning, and vendor relationship management
  • Analytical thinking, problem-solving, and decision-making skills
  • Proficiency in using supply chain management systems and analytical tools
  • Ability to lead and manage teams effectively
  • Excellent communication and negotiation skills
  • Knowledge of regulatory and compliance requirements in supply chain operations
  • Relevant degree in Supply Chain Management, Logistics, Business Administration, or a related field
