We're expanding and looking for a Sales Coordinator to support our Sales Division in ensuring smooth order processing, accurate cost management, and seamless coordination between customers and internal teams. This role is essential for maintaining operational accuracy and supporting sales performance.

Position Overview

The Sales Coordinator acts as the central support pillar for the Sales team — ensuring orders are processed accurately, pricing is correct, stock is validated, payments are tracked, and customers receive timely service. You will work closely with the Sales Managers, BD team, Finance, and Warehouse to ensure efficient sales operations and smooth delivery flow.

This position requires someone highly organised, attentive to details, and strong in administrative and coordination skills.

Key Responsibilities

  • Sales Order Processing & Coordination
  • Process and verify incoming sales orders with 100% accuracy in pricing, margins, discounts, and credit terms.
  • Ensure all invoices reflect the correct trade price (not cost price) to maintain margin integrity.
  • Cross-check orders with stock availability and coordinate with Warehouse and Logistics to ensure timely delivery.
  • Support Sales Managers and BD staff with quotations, delivery orders, and customer documentation.

Cost Control & Pricing Accuracy

  • Maintain and validate price lists, trade promotions, and discount structures.
  • Ensure all promotional items or special offers are correctly applied and approved before processing.
  • Monitor pricing mismatches, cost discrepancies, and resolve billing errors promptly.

Stock & Inventory Coordination

  • Coordinate stock checks with the Warehouse to ensure order quantities match availability.
  • Track stock movement and ensure all issued goods match invoiced quantities.
  • Assist with monthly stock take reconciliation and follow up on discrepancies.

Payment & Collection Tracking

  • Monitor outstanding payments and ensure collections are made within agreed credit terms.
  • Follow up with customers or Sales team for overdue invoices.
  • Ensure all payment records, receipts, and credit notes are accurately updated.

Internal Communication & Client Support

  • Assign incoming sales inquiries to the correct salesperson based on territory or account ownership.
  • Provide basic customer support regarding order status, delivery schedules, and product availability.
  • Maintain accurate and updated client records, sales data, and internal reports.

Reporting & Administration

  • Prepare weekly and monthly sales coordination reports (order flow, collections, pending items).
  • Maintain documentation for audit and compliance purposes.
  • Support ad-hoc administrative tasks assigned by the Sales Manager or Management.

Requirements

  • Diploma/Degree in Business Administration, Accounting, Marketing, or related field.
  • 1–3 years of experience in sales coordination, order processing, or administrative support, ideally in FMCG, distribution, or F&B.
  • Strong attention to detail with excellent organizational skills.
  • Familiarity with pricing, cost control, and basic financial processes.
  • Proficient in Microsoft Office (Excel required); experience with ERP systems (AutoCount, SQL, SAP) is an advantage.
  • Strong communication skills and ability to work cross-departmentally.
  • Responsible, punctual, and able to manage multiple tasks at once.
