About the Role:
We are seeking an experienced
Human Resource Executive
with strong expertise in
payroll administration for all employees, freelancers, and project-based staff
, as well as
Expatriate Services Division (ESD) and immigration matters
. The ideal candidate will manage end-to-end HR operations while ensuring compliance with statutory requirements and company policies.
Key Responsibilities:
1. HR Operations & Administration
- Manage full spectrum of HR functions including personnel records, HR databases, HRIS (HR2eazy), and employee files.
- Ensure all HR activities comply with statutory regulations, company policies, ISO standards, and ethical practices.
- Handle employee lifecycle activities: onboarding, transfers, promotions, confirmations, resignations, and terminations.
- Prepare and maintain HR documentation, SOPs, forms, and process updates.
Key Focus
- Prepare, process, and validate
monthly payroll for all staff, freelancers, and project-based personnel
using HR2eazy. - Ensure accurate calculation of allowances, overtime, claims, deductions, leave, and other payroll components.
- Process statutory payments (EPF, SOCSO, EIS, PCB) and submit documentation to government portals timely.
- Maintain payroll confidentiality and efficiently resolve payroll-related queries.
Key Focus
- Prepare, submit, and monitor all
ESD applications for expatriates
, including new employment passes, renewals, company updates, and quota management. - Handle immigration documentation and ensure smooth onboarding and renewals for expatriates.
4. Employee Benefits & Leave Management
- Track attendance, leave balances, medical claims, and absenteeism.
- Administer employee benefits and ensure proper documentation and approvals.
5. Recruitment & Staffing Support
- Support recruitment activities including screening, shortlisting, arranging interviews, and preparing employment documentation (offer letters, contracts, confirmations, increments, and bonus letters).
6. HRDF Administration
- Ensure proper registration, submissions, training claim processing, and record keeping in line with HRD Corp requirements.
7. Training & Development
- Coordinate internal and external training programs and maintain training records, annual plans, and matrices.
- Support identification of training needs, competency gaps, and upskilling programs.
8. Confidentiality & Professional Conduct
- Handle all HR matters with high discretion and maintain confidentiality of payroll, employee, and expatriate information.
Required Education & Experience:
- Degree in Human Resource Management, Business Administration, or related field.
- 3 years HR generalist experience
with strong
payroll and expatriate services exposure
. - Experience with payroll systems, preferably
HR2eazy
.
Required Skills:
- Strong payroll knowledge for all types of employees.
- Proficient in HR2eazy, Microsoft Office, and HR systems.
- High integrity, professionalism, and discretion.
- Good interpersonal, communication, and negotiation skills.
- Ability to work independently, manage deadlines, and solve problems proactively.
- Fluent in Bahasa Malaysia and English (spoken and written).
