Company Overview

We are a mechanical construction firm based in Penang, Malaysia, with headquarters in New York City. Our core business is HVAC systems and mechanical contracting for commercial and public projects. We are looking for a detail-oriented Accounts Payable Bookkeeper to support our finance and project teams. This is a fully remote, work-from-home position. You'll work closely with our New York office through Zoom, MS Teams, and other collaboration tools.

Position Summary

We are hiring a remote Accounts Payable Bookkeeper who will be responsible for managing vendor invoices, payments, and cost tracking for multiple projects. You will be expected to keep extremely accurate records, follow up with vendors, and support month-end reporting.

We will consider both experienced bookkeepers and motivated candidates with basic accounting knowledge who are willing to learn our process.

Key Responsibilities

  • Receive, review, and verify supplier and subcontractor invoices for accuracy (amounts, PO, approval, tax).
  • Record all payables into the accounting system in an organized and timely manner.
  • Maintain AP aging and prepare payment schedules.
  • Coordinate with project managers to confirm that goods/services were received and approved before releasing payment.
  • Track project costs and classify expenses to the correct job / cost code.
  • Reconcile statements from vendors and resolve billing discrepancies.
  • Maintain digital records of invoices, purchase orders, delivery orders, and payment proof.
  • Assist with cash flow planning related to upcoming AP.
  • Support month-end close with AP reports and documentation for management / external accountants.

Qualifications

  • Diploma or degree in Accounting, Finance, Business Administration, or related field.
  • Experience in bookkeeping or accounts payable (construction industry experience is a plus, but not required).
  • Familiar with basic accounting concepts: invoice, PO, W-9/vendor info, payment terms, retention/withholding, etc.
  • Proficiency with Excel / Google Sheets. Experience with accounting software (Quickbooks) is an advantage.
  • Strong attention to detail and excellent record-keeping discipline.
  • Able to work independently from home with minimal supervision.
  • Strong English communication skills (spoken and written); Chinese proficiency is a plus for dealing with certain vendors.
  • Able to work partially during 6 PM – 2 AM Malaysia time to align with the US office when needed.

Compensation and Benefits

  • Monthly salary: RM 3,000 – RM 8,000, depending on experience and qualifications.
