Procurement Manager

The role

Lead and manage the Company's procurement and purchasing activities for Malaysia & Singapore, focusing on cost-effective sourcing and collaboration with internal and external stakeholders. This role is responsible to build strong relationships and collaboration with stakeholders to oversee demand & supply planning, import/export operations, regulatory compliance and logistics coordination with international suppliers and freight forwarders. The Procurement Manager ensure Company's compliance with all regulatory and statutory requirements (MOH, KKM, DOSH, DOE, SIRIM, HALAL, HACCP, GMP, Customs, etc.), as well as corporate governance, import/export control, and quality management standards applicable to the FMCG industry.

What you'll be doing:-

1. Demand & Supply Planning:

• Oversee demand & supply planning / inventory management / order placement to ensure timely delivery while optimizing stock levels to drive profitability.
• Monitor and manage stock levels, taking into account product perishability, shelf-life limitations, and demand fluctuations.
• Utilize demand forecasting tools and techniques to anticipate purchasing needs and prevent stockouts or overstocking.
• Implement inventory control measures to minimize waste and optimize storage.

2. Inventory Replenishment:

• Act as a key person to collaborate with Suppliers / Vendors
• Work closely with sales, warehouse, marketing and other internal teams to gather order information and ensure accuracy of forecast
• Communicate supply status and inventory updates promptly to relevant departments.
• Work directly with the warehouse team to ensure proper inventory storage

3. Import/Export Compliance:

• Verify customs declaration forms & documents for correct HS code, duty, and sales tax calculations, ensuring compliance with Malaysian customs regulations.
• Obtain and manage all required import permits, ensuring timely customs clearance and adherence to Malaysian import regulations.
• Follow up import customs clearance documentations
• Engage and follow up with government offices, e.g. Custom, Department of Veterinary, Ministry of Health, JAKIM, etc.
• Knowledgeable with Halal certifications, product labelling regulation, Food Act and other relevant food safety regulations
• Knowledgeable with containers arrangement to East Malaysia & Brunei

4. Problem Solving Skills:

• Proactively resolve any shipment-related issues, such as delays, documentation errors, or customs rejections.
• Support internal teams with required documentation and compliance updates.
• Coordinate with internal departments, customers, and external authorities to ensure smooth and efficient operations.
• Monitor and enhance system / processes to improve operational efficiency.
• Ensure all required documentation is completed accurately and submitted on time.

5. Cost & Market Analysis:

• Conduct regular market and cost analysis to identify opportunities for cost and value improvement.
• Evaluate supplier / vendor pricing, market trends, and material availability to support informed purchasing decisions.
• Work closely with Finance, Sales & Marketing on product pricing strategy

Key Skills and Qualifications:

1. Degree in Supply Chain Management, Business Administration, or a related field is preferred
2. Minimum 6–8 years of experience in procurement or supply chain management, preferably within the FMCG or food manufacturing industry.
3. Strong understanding of supply and demand principles, particularly for perishable goods.
4. Knowledge of import/export regulations and Malaysian customs procedures.
5. Strong analytical and problem-solving skills.
6. Excellent communication and interpersonal skills.
7. Knowledge of Halal Certifications and Malaysian food regulations is a plus.
8. Understanding of the Food Regulations 1985 and other relevant labelling laws in Malaysia.
