Sales Administration Assistant Manager

We are a well-established property development group seeking a Sales Administration Assistant Manager to lead and streamline its sales support operations in Malaysia. This role includes managing the end-to-end administration process.
Key Responsibilities:
- Managing all sales and credit administration functions per the terms and conditions of the Sale Purchase Agreement (SPA) and Standard Operating Procedure (SOP) of the company to achieve high operational work efficiency and customer satisfaction.
- Ensure compliance with the Housing Development Act (HDA) and other relevant legal frameworks.
- Ensure the execution of MOT and issuance of letter of confirmation or other relevant tasks are on time.
- Ensure progressive billings & collections are promptly handled and comply with the department's SOP.
- To monitor all data records in the system and ensure they are processed accurately and in a timely manner.
- Responsible for the proper record keeping of all sales and credit administration-related reports are prepared accurately and promptly.
- Liaise with internal departments (Sales, Finance, Legal, Credit Control, and Project teams) to ensure smooth coordination and timely execution of sales admin-related tasks. Including liaison with appointed lawyers and bankers to ensure timely and accurate processing.
- Prepare and present sales forecasts and expected collections to Management for cash flow and budget planning.
- Prepare and consistently submit monthly/weekly reports to management for review including reconciliation of month end deposit or down payment collection.
- Attend to customers' queries and work closely with other departments to resolve issues within the stipulated deadline.
- Assist the head of department on tasks assigned as and when required or undertake any other duties as assigned by the Management from time to time.
Requirements:
- Candidate must possess at least a Diploma or Degree in Property Development/Real Estate Management, Finance, Business Studies/Administration/Management or equivalent.
- Required skill(s): Sales Administration in Property Industries
- Minimum 5 years of experience in property sales administration, preferably at a managerial or senior executive level.
- Strong understanding of loan processes, end-financing, billing cycles and credit risk management.
- Proven track record in achieving collection targets and resolving delinquent accounts.
- Strong interpersonal and communication skills to liaise with lawyers, bankers, agents, and purchasers
