The Site Admin Clerk is responsible for providing administrative and clerical support at the project site. This role ensures proper documentation, smooth daily operations, and effective communication between the site team, office, subcontractors, and suppliers.

Key Responsibilities1. Site Administration

  • Maintain and update all site documents (site diary, reports, permits, attendance, safety forms).
  • Organize and file project documents for easy retrieval.
  • Prepare letter correspondences, memos, and simple reports.

2. Document Control

  • Collect, record, and distribute all incoming/outgoing documents.
  • Assist in preparing submission documents (RFI, material submission, method statements).
  • Ensure all documents are correctly labeled, scanned, and stored.

3. Procurement & Inventory Support

  • Assist in preparing purchase requests (PR) and delivery order (DO) records.
  • Monitor site material usage and update stock lists.
  • Coordinate with suppliers for delivery schedules.

4. HR & Attendance Support

  • Record daily workforce attendance.
  • Assist with staff claims, leave records, and timesheets.
  • Coordinate PPE issuance and maintain PPE records.

5. Finance & Claims Support

  • Assist in checking supplier invoices and subcontractor claims.
  • Verify delivery orders against invoices for accuracy.

6. Communication & Coordination

  • Assist in arranging site meetings and preparing minutes.
  • Coordinate with HQ admin/finance/HR for daily operational matters.
  • Support the Site Manager, Engineers, and QS with administrative tasks.

Job Requirements

  • Minimum SPM / Diploma in Business Administration or related field.
  • At least 1 year experience in administration (construction experience is an advantage).
  • Proficient in Microsoft Office (Word, Excel).
  • Good communication and organizational skills.
  • Able to work independently at construction site environment.
  • High attention to detail and able to multitask.

Working Conditions

  • Site-based position.
  • Standard working hours; may require occasional overtime depending on site progress.

Job Types: Full-time, Contract

Contract length: 12 months

Pay: RM2, RM2,800.00 per month
