Leasing & Event Executive

MAIN DUTIES, RESPONSIBILITIES AND ACCOUNTABILITIES
Leasing Coordination
- Assist in sourcing, screening, and evaluating potential tenants.
- Coordinate site visits, tenant meetings, and discussions on leasing requirements.
- Support the preparation and issuance of tenancy documents including Letters of Offer, Tenancy Agreements, and renewals.
- Maintain and update tenant information, rental records, and lease status reports.
- Follow up with tenants on documentation, payments, deposits, and compliance matters.
Tenancy Administration
- Track lease expiry, renewals, and terminations and notify relevant parties.
- Ensure proper filing and documentation for all leasing records.
- Coordinate with legal, finance, and property management teams on lease-related matters.
- Monitor tenant fit-out progress, compliance with guidelines, and handover/handover-back procedures.
Event Planning & Coordination
- Assist in developing and executing event concepts, campaigns, and promotional activities.
- Coordinate event logistics including suppliers, décor, equipment, venue setup, and manpower.
- Work with marketing teams on event promotion, social media posting, and digital content needs.
- Ensure events run smoothly and meet objectives of traffic generation, branding, or tenant support.
- Prepare event briefing notes, schedules, and post-event reports.
Tenant Relations & Support
- Build positive working relationships with tenants and serve as a point of contact for daily operational matters.
- Coordinate tenant participation in mall/venue events, promotional activities, and marketing campaigns.
- Attend to tenant feedback and escalate issues to management when required.
Reporting & Data Management
- Prepare leasing reports, event performance reports, and occupancy summaries.
- Maintain updated information on available lots, rental rates, event schedules, and leasing progress.
- Track event KPIs such as visitor engagement, leads, and sales results (if applicable).
